Hosting/Sponsorship Policy

1.
Policy:
The Bulkley Valley Community Arts Council (BVCAC) will
host or sponsor events that fit within the Arts Council Mandate.
2. Arts

Increase awareness of and access to the arts for the

a)
Members
of the community may require the assistance of the BVCAC to participate in one time only events. For example all
groups and individuals require proof of liability insurance prior to using or
renting any space from

Performances
and/or appearances by local artists and groups to fund raise for non-arts related organizations within the community
are not deemed to fall within the mandate of the Arts Council
c)
If a
certain group or individual applies to be hosted/sponsored for more than one
event per year the BVCAC reserves the right to request that they become members
of the BVCAC as opposed to the BVCAC hosting/sponsoring the event.
4. Definitions:
Host/Sponsorship: Sanctioning of a particular event by the BVCAC.
This includes the privilege of using the BVCAC logo, to be included
under the BVCAC liability insurance & any other rights or privileges
extended to members of the BVCAC for the
one time only event.
5. Procedure:
a)
Any
resident/organization of the

Applications
must state the type of event, venue, & purpose of event.
o
Members
of the arts council will not be charged a hosting/sponsorship fee.
o
Non-
members will be charged a fee: this fee provides $2,000,000.00 liability
insurance for attendees of the event only. This fee will be agreed upon
annually by the Board of Directors.
b)
Final
decisions regarding hosting/sponsorship of performances by the BVCAC will be
made by the Directors of the BVCAC.
c)
Successful
applicants will be required to sign a waiver outlining the responsibilities of
the applicant and limitations of liability insurance. The waiver is available at the

As a
condition of funding, the BVCAC requires that the successful applicants
acknowledge the support of the BVCAC on all promotional materials. The logo must be used on posters, brochures,
print ads and programs and used where possible on media releases and signage
related to the funded project. In addition, two (2) free media passes have been
made available to the local media and must be honoured.
6. Dispute
Resolution:
a)
If a
dispute regarding sponsorship arises, the following procedure will be followed:

Group or individual shall submit their dispute in writing to the Board of
Directors. A decision will be made at
the next scheduled Board meeting.

a decision has been made by the Board of Directors a letter will be sent to the
